Invoice best practices

  • Number invoices in order (INV-0001, INV-0002…) so they are easy to track and audit.
  • State clear terms like "Net 30" and the payment methods you accept.
  • Describe the work clearly so the client's accounts team approves it quickly.
  • Send promptly after the work is done, and follow up politely if payment is late.
  • Keep copies of every invoice for your taxes and records.

Working out prices? Use the markup calculator or the sales tax calculator. Tracking hours? Try the time card calculator.

Frequently asked questions

How do I create an invoice?

Fill in your business details, your client's details, the invoice number and dates, then add a line for each product or service with a quantity and price. Tax, discount and totals are calculated for you. Press "Print / Save as PDF" to download it.

How do I save the invoice as a PDF?

Press "Print / Save as PDF" and choose "Save as PDF" (or "Microsoft Print to PDF") as the printer. Only the invoice itself is printed, without the website around it.

Is my information stored?

Your details are kept only in this browser so the form is filled in next time. Nothing is uploaded to a server. Use "Clear form" to remove everything.

What should an invoice include?

Your business name and contact details, the client's name, a unique invoice number, the issue date and due date, a description of each item with quantity and price, any tax, the total due and how to pay you.

Do I need to charge sales tax?

It depends on what you sell and where. Many US states tax goods but not most services, and rules differ by state. EU businesses usually add VAT. Check your local tax rules or ask an accountant.
