Email signature tips

  • Keep it short. Name, title, company and one or two ways to reach you.
  • Use a hosted image no wider than about 300 pixels so it loads quickly.
  • Make links clickable and double-check them after installing.
  • Stay consistent across your team with the same layout and accent color.

Frequently asked questions

How do I add the signature to Gmail?

Press "Copy signature", then in Gmail open Settings → See all settings → General → Signature, create a new signature and paste. Scroll down and press Save changes. The formatting and links are kept.

How do I add it to Outlook?

Copy the signature, then in Outlook go to Settings → Mail → Compose and reply (or File → Options → Mail → Signatures in the desktop app), create a new signature and paste it in.

Can I add a logo or photo?

Yes. Paste a link to an image that is already online, such as your logo on your website. Email signatures need hosted images, because attached images are often blocked or shown as attachments.

Why does my signature look different on some phones?

Email apps support HTML differently. This generator uses simple table-based HTML with inline styles, which is the most reliable approach, but small differences in spacing and fonts are normal.

What should a professional email signature include?

Your name, job title, company, one or two contact methods and your website. Keep it short: four to six lines is plenty. Skip quotes and large images that distract from your message.
